FCAT Responsibilities

In order to justify our existence and the assigned time FCAT need to be scrupulous record keepers. Officially a .2 assigned time is equal to a three unit course, so eight hours per week (on average). Just like a class, this time is spent all in workshops or physical/electronic interaction but involved preparation and conceptualization of your assignment and any time spent in FCAT related meetings and activities. FCAT are not required to “punch the clock” and account for every minute, but should demonstrate they are spending the required time for their duties. Under-performance in this regard will result in this being a one-term assignment.

FCAT will submit a monthly logbook of activities under assignments on the FCAT Canvas site. This is submitted using a provided spreadsheet form. On this form FCAT should log:

  • All email, phone, or physical interaction with individual faculty/staff/Chairs/Deans/students (for email, just copy and paste email address).
  • Outreach such as emails to Chairs with queries or announcements.
  • The creation or revision of associated materials or content.
  • Research and documentation
  • FCAT administrative duties (meetings, log books etc.)
  • Workshops (location, date, and topic)
  • Presentations (location, date, and topic)
  • Open office hours

Timely Response to Issues and Queries

It is critical that FCAT respond to queries and requests in a timely manner. While we are not 24/7 tech support, we do need to realize that minutes seem like hours when people are stymied by technical issues or other problems. Email should be addressed within 24 hours, even if this is just an acknowledgement that the message was received and you are “looking into it and will get back to them ASAP.” If there is an issue you cannot address you can ask the other FCAT, check Tech Tips, review the Canvas Guides, or hand the faculty person off to an instructional designer or Faculty Development staff. Remember to log all contacts.

Workshop Evaluation

Workshops need to have evaluation processes built into their structure. Each workshop should:

  • Use the electronic sign-in sheet for all participants when possible: http://goo.gl/H8eN9Y
  • Use a paper sign-in sheet if electronic is not (Name, college, dept. and faculty or staff)
  • Provide the url for a post-workshop survey: http://goo.gl/kssmWY Links to an external site. 
  • Put the workshop in the main calendar of the FCAT home Canvas page so that other FCAT can attend for their own benefit.

Monthly/Semester Report

I highly recommend you compose an executive summary of your monthly activities and send copies to your department Chair, Dean, and myself. This will create a high profile, keep these important people in the loop, and help to demonstrate the programs (and your own) utility. At the very least, it is advantageous to create a summary report at the end of the term to submit to your department Chair and Dean as well as the myself. Again, the more documentation the better and more likely we can keep funding for our efforts.
